The role:

Responsible for implementing the document filing structure, developing and maintaining project/order related documentation, in line with product specifications and user guidelines, to inform (potential) customers on the use and maintenance of IHC products.

1. Preparation

Accountability Develop plan for document management for the (assigned part of the) (potential) project/order, and acquire the necessary information based on the (project) approach.

Result Document plan/configuration management is available and serves as guideline for the document management approach.

2. Document filing structure

Accountability Implement (project) document filing structure in line with document control standards and (project) approach.

Result Document filing structure is ready for use.

3. Project/order Information

Accountability Collect information, develop, provide, assess and validate (with certifying authorities and other relevant stakeholders) of (technical) project/order documentation, datasheets, standards etc. in line with rules and regulations on documentation.

Result Mandatory project/order documentation is available for all IHC equipment and can be used to inform stakeholders.

4. (Potential) Customer information

Accountability Develop, provide and assess customer documentation, consisting of work instructions, technical specifications, guidelines for maintenance, etc..

Result (Potential) Customer has a user manual covering all requested and mandatory information.

5. Maintenance

Accountability Maintain product and customer documents and standards to ensure that documentation is updated in line with latest product developments and adjustments in regulations and present documentation to certifying authorities for final approval.

Result Documentation is up to date and/or presented to certifying authorities and other relevant stakeholders.

6. Archiving

Accountability Screen, select and archive (digital and hard-copy) product and customer documentation, reports and other relevant information, using applicable archiving systems and procedures.

Result Optimal availability of information for customers and other relevant stakeholders.

7. Administration

Accountability Execute the administration processes, including NCR’s, manage contacts with third parties and monitor and archive files and documents in applicable systems.

Result Complete and actual availability of information.

8. IHC/International Standards

Accountability Collect and store documents on IHC and international standards in a corporate database, in line with regulations and maintain and update database in case of new/updated standards.

Result IHC and international standards are centrally stored and up to date.


Accountability Behave in line with safety rules, regulations, procedures, instructions, guidelines, and awareness, including addressing anomalies to others.

Result Unsafe situations, incidents and damages are avoided.

  • Responsible for maintenance of documentation around standardized products and/or a specific entity


  • Works under close guidance and detailed work instructions/documentation plan; work is prioritized and being checked by senior colleagues
