These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders performing front office management functions typically report to the Deputy Directors or Head of Offices. In cases where these positions support a specific business stream, the reporting line may be to the Head of Unit, Chief, or the designate.
At this level job holders are expected to take responsibility for completion of a range of business support activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to more junior colleagues.
To deliver a wide range of business support processes and activities for a specific professional area of work, to facilitate effective service delivery.
Position Title: Business Support Assistant (Fleet Centre)
Service Contract for duration of 12 months with possibility of extension.
Level: SC 5
Salary starts from AED 13,216.26 per month (inclusive of pension), plus insurance and other benefits.
Under the overall guidance and the direct supervision of the Fleet Centre (FC) Training Manager, based in Dubai-UAE, the incumbent shall have the following duties and responsibilities:
KEY ACCOUNTABILITIES (not all-inclusive)
1. Plan and coordinate for the training requirement contained within the Fleet Center ‘Statement of Trained Requirement (SOTR)’ and manage the WFP driver, FM and road-safety training pipeline.
2. Liaise with all WFP functional areas, UN Inter-Agency organizations and partners to direct a range of complex queries, supporting the resolution of various training related issues and the timely and successful delivery of Fleet Centre and Inter-Agency training initiatives and projects.
3. Expand Fleet Centre as a line of business including UN Inter-Agency business planning and the delivery of effective business processes in support of WFP and UN Inter-Agency training and capacity building objectives which should be aligned to SDG 3 (3.6).
4. Administer Fleet Centre ‘systems approach to training documents in accordance with the Document Review and Management Plan (DRMP).
5. Establish relationships with external partners.
6. Liaise with driver, road-safety and FM module responsible trainers and subject matter experts to ensure that all training documents and materials reflect the necessary quality and currency and record all changes in the DRMP.
7. Manage the Fleet Centre input to the proposed new IHC training area in the proposed new build for 2020.
9. Collect, analyse, and present internal and external marketing information to Fleet Centre customers.
10. Support customer service teams by drafting standard communication and standard operating procedures for customer encounters.
11. Support administrative teams by mapping departmental workflows and drafting standard operating procedures according to Fleet Centre practices.
12. Support WFP Fleet Centre Programme Manager and other staff when preparing for meetings and speaking
engagements by gathering relevant data from all data holders drafting presentations, reports or other communication relating to Fleet Centre activities.
13. Produce compelling Fleet Center comms content including, text, photos, graphics, videos and audio and liaise with WFP Dubai Communications Unit and WFP HQ Administration Unit focal points for use across a range of integrated on-line platforms and media to support advocacy, brand building, as well as to illustrate and demonstrate the impact of Fleet Centre’s services.
14. Liaise with WFP Dubai Communications Unit and WFP HQ Administration Unit focal points to develop social media content, utilize internet and intranet platforms, networks and partners to enhance coverage and support of Fleet Centre’s service activities.
15. Contribute to the preparation of reports, executive briefs, annual Fleet Centre reports and other such divisional and corporate reporting exercises in collaboration with WFP Dubai Communications Unit and WFP HQ Administration teams.
17. Ensure that responses to direct or indirect requests for information about the work of Fleet Centre provides a clear understanding of its objectives, policies and activities.
18. Liaise with WFP Dubai Communications Unit and WFP HQ Administration teams to draft/ edit texts for news releases, feature articles, briefing notes, backgrounders, Questions & Answers (Q&A), arrange interviews and provide communications content as required.
Education: Completed high school education. Vocational qualifications in business administration, event management or any communication related discipline is desirable.
Experience: At least 5 years of prior experience in event planning and coordination/communication/public relations/ marketing or related field. Demonstrated competencies in project management.
Knowledge & Skills:
  • Recognized Project Management qualification (desirable)
  • Recognised MS Office competency qualification (desirable)
Knowledge of specialised common business practices and methods, gained through relevant technical training and experience.
  • Ability to develop and maintain relationships with a range of individuals in order to provide a high quality support service.
  • Ability to carry out basic data analysis and independently rectify problems requiring attention.
  • Good communication skills required to give and receive information and work with a variety of individuals.
  • Ability to maintain confidentiality.
Language: Fluency (level C) in English language. Fluency (level C) or intermediate knowledge (level B) of another official language may be required depending on the location of the post or area of responsibility.
